WRITTEN INTAKE DESK FOR TEXAS LAW FIRMS

No inquiry waits.

When someone reaches out to your firm — a web form at 6:47 pm, an email on a Saturday — a person on our desk replies in writing within 15 minutes during desk hours. We ask your questions and follow up to help them book or bow out. You see every word. Overnight inquiries are answered by 8am.

For Texas family and immigration firms · Written intake only — no legal advice, run under your firm’s supervision

Most email inquiries don’t get a slow reply. They get no reply.

In Clio’s 2024 Legal Trends secret-shopper study, researchers contacted 500 law firms the way a prospective client would. Only 33% of firms responded to an email inquiry. Of those that responded, only 18% made the next step clear. Meanwhile, nothing stops the person waiting for a reply from contacting the next firm on their list.

Front desks juggle court runs, filings, phones, and clients in the lobby. Promising inquiries can quietly die in the inbox. DocketReply closes that gap — in writing, in your firm’s voice, inside your own inbox.

1

An inquiry lands — through a form, an email, or an after-hours message, wherever your firm receives it today.

2

We answer within 15 minutes (7am–9pm CT, Monday–Saturday; overnight and Sunday inquiries by 8am). A person replies in your approved words, asks your qualification questions, and collects conflict-check details word for word.

3

We keep following up — up to five touches across ten days, by email and by text where the person has agreed to texts. After the fifth touch, the outcome is logged in your tracker — nothing disappears silently.

4

Booked and briefed — qualified prospects are booked on your consultation calendar with an intake summary attached. Everything lives in a shared tracker your firm can open at any time.

English and Spanish written intake on every plan.

Start with the leak audit. It’s free.

We review what a prospective client can already see: your Google reviews and your website’s contact path. In the reviews, we look for the pattern that tells you inquiries go unanswered — “never called back,” “still waiting to hear back.” On your website, we look at how many steps it takes to reach you and what happens after someone does.

Within 3 business days, you get a one-page report naming each leak and what we would do about it. Four quick questions come with the request so the report can size the leak using your own numbers. We never submit test inquiries to your firm; the audit reads public signals only.

Up to 60 new inquiries a month. Everything in Desk 25.

Desk 60

Overage is $24 per inquiry. Month-to-month — pause or cancel anytime. Founding cohort: 4 firms, so the 15-minute promise stays real.

A promise about our work — not your caseload.

If more than 5% of a month’s inquiries miss the response-time commitment — 15 minutes during desk hours, 8am for overnight and Sunday inquiries — you automatically receive a 25% credit for that month.

We will never promise signed cases; no honest intake service can. We promise that every inquiry is answered promptly, followed up properly, and accounted for.

Run like part of your firm — because it has to be.

  • Your firm’s attorney approves every template and question before launch and can change them anytime.
  • No legal advice, no case opinions, no interpretation of deadlines. Anything substantive goes straight to your firm the same day.
  • Conflict details are collected word for word and handed over untouched. Your firm runs its own conflict check.
  • Your inbox, your data, your tracker. If you cancel, everything stays with your firm.
  • Texas firms only, for now: one state’s rules, done properly.

FAQ

Are you a law firm? Do you give legal advice?

No. DocketReply is an administrative intake desk. We use only wording your firm has approved and never evaluate a case. Anything that needs a lawyer’s judgment goes to your firm the same day.

We already use Clio or other practice software. Does this fit?

Yes. The desk works inside the inbox and tools your firm already uses. One honest note: if your firm uses Clio and is comfortable with its AI intake, you may not need us. DocketReply is for firms that want a human desk, flat pricing, and their existing inbox.

What happens to an inquiry that arrives at 2am?

We answer it by 8am that morning, then begin the follow-up sequence. During desk hours — 7am to 9pm CT, Monday through Saturday — the response commitment is 15 minutes.

Do you answer phones?

No. We handle written intake only: email, form follow-ups, and text where the person has consented to texts. That focus is deliberate. Written inquiries are the easiest to lose sight of — and with the desk, every one of them is answered and on the record for your firm.

Can you handle Spanish-speaking clients?

Yes. Written intake in Spanish is included on both Desk plans. For many Texas family and immigration firms, that alone closes a leak.

How fast can we start?

The Setup Sprint builds your desk. Once your attorney approves the templates, we connect your inbox and calendar and the desk goes live.

What if an inquiry looks urgent or sensitive?

Every template set includes an escalation path. Anything urgent is flagged in your tracker and routed to your firm the same day, inside the response windows above.

The next inquiry your firm misses is already sitting in someone’s inbox.
